Using Microsoft Teams

To join a Microsoft teams meeting you will only need the following:

  • An invitation to the meeting or the link to the meeting
  • A reliable internet connection
  • A device with camera and microphone enabled
    (this is only if you need to talk to other person and they need to see you, if not you can still join the meeting)

Joining a Teams Meeting from a PC

Using the Teams App

1) Open the Calendar entry/Invitation email with the Microsoft Teams meeting invitation

2) Click on the link that says “Click here to join the meeting”, or the long URL if not shown.

3) This takes you to the Microsoft teams meeting as you see in the screenshot below

4) Click on “Download the Windows App

5) The App will download and appear in the bottom Left. Click on the App to install.

6) After it’s loaded, you will see a screen where you can enter your Name, Enable or disable your microphone and camera.

7) Once you are all set to join the meeting, click “Join now.”

You will now be entered into the Waiting Room/Meeting.

Using a Web Browser

If you do not wish to download and install the Microsoft Teams app, you should join the meeting from your computer browser instead.

To join a Meeting from a browser without downloading the Microsoft Teams App, I suggest you should have one of the following mentioned browsers.

  • Google Chrome
  • Mozilla Firefox
  • New Microsoft Edge (Based on chromium)

The main reason you need to have these browsers is that they have the best compatibility for your computer/laptop’s webcam, microphone, and speaker.

1) Open the Microsoft Teams meeting invitation

2) Click on the link that says “Click here to join the meeting”, or the long URL if not shown.

3) This takes you to the Microsoft teams meeting as you see in the screenshot below:

4) Click on “Continue on this browser

5) It will ask you to allow “teams.microsoft.com” to

  •  Use your microphone
  • Use your camera

6) Click on “Allow” and let it update

7) After it’s loaded, you will see a screen where you can enter your Name, Enable or disable your microphone and camera.

8) Once you are all set to join the meeting, click “Join now.”

You will now be entered into the Waiting Room/Meeting.

Installing Teams App on a MAC

Mac users can install Teams by using a PKG installation file for macOS computers.

Administrative access is required to install the Mac client. The macOS client is installed to the /Applications folder.

Install Teams by using the PKG file
1) From the Teams download page, under Mac, click Download.
2) Double click the PKG file.
3) Follow the installation wizard to complete the installation.
4) Teams will be installed to /Applications folder. It is a machine-wide installation.

Teams Meeting on a Tablet or Phone

If you wish to join a Microsoft Teams meeting from a mobile device you will need to download the Microsoft Teams app:

Android device

  1. Go to the play store and search for “Microsoft Teams”
  2. Tap on install to download the Microsoft Teams app for android

Apple Device

  1. Go to the app store and search for “Microsoft Teams”
  2. Tap on “Get” to download Microsoft Teams app for iPhone

Joining the Microsoft Teams Meeting

Once you have the Microsoft Teams app downloaded and installed on your device, you are ready to join Microsoft teams.

1) Open the Calendar entry/Invitation email with your Teams meeting invitation

2) Click on the link that says “Click here to join the meeting”, or the long URL if not shown.

3) This will take you to the Microsoft Teams app we installed previously.

4) Tap on “Join as a guest.”

5) Enter the name you would like to join the meeting as and tap on “Join as a guest.”

6) If it asks you for permission to record the audio allow it

7) Now you should be in the meeting you are trying to join.

Options within a Teams Meeting

Within a meeting, the options bar allows you to control and see certain functions.

We recommend that if you are not speaking then your microphone is turned off in order to Teams from focusing on you, instead of the
person speaking.

Duration of Meeting Displays the length of the current meeting in Minutes & Seconds

Webcam Allows User to enable/disable their Webcam

Microphone Allows User to enable/disable their Microphone

Share If the user is the presenter, this allows them to share a document/screen with the participants of the meeting.

Show conversation allows you to send typed messages to everyone in the meeting or attach files during the meeting (using OneDrive, or uploading directly from your computer).

Show participants means you can check if anyone is missing – you can also start typing in the Invite someone bar to add them to the
meeting manually.

Hang up Press this button to leave the meeting

••• Use the three dots in the control panel for more actions, such as blurring your background, or adding (unreliable) captions.

Display options

Teams will display the participates within a meeting depending on the device and screen size used by your device.

By default, Teams will display the active talker. The display can be changed (options dependant on device) to show more participates on the screen.

To view upto 49 participants on screen, press the ••• and from the options select “Large gallery”
